Overview:

  • Granger Medical Clinic, the largest independent medical clinic in the Salt Lake Valley, is looking for a dynamic Project Assistant.  This person will support the Senior Project Manager on various construction and move projects.

 

Essential Functions and Duties:

  • Effective in using applications for cost, and schedule tracking.
  • Administrative support for the Sr. Project Manager
  • Assists project team in defining, planning and implementing projects to achieve specific business goals and objectives.
  • Coordination and support of all project meetings including but not limited to agendas, setup, and minutes
  • Assist in the research, creation, and implementation of project tools, templates, and procedures
  • Implement new project tools and tracking systems
  • Assists in developing and maintaining detailed project schedules
  • Maintenance and management of calendars
  • Recommends new processes where needed to improve quality or on-time delivery Maintains workflow and delivery status of projects for the project team
  • Coordinates meetings, stakeholder interviews and follow-up sessions Composes correspondence and disseminates to appropriate individuals. Answers phones, questions and requests.
  • Processes/tracks Change Orders
  • Prepares various documents and handles confidential matters in accordance with clinic rules, regulations, and procedures
  • Assists in updating and reporting project plans, status, and schedules
  • Develop working knowledge of building engineering systems and construction techniques.
  • Develop working knowledge of architectural systems and design processes
  • Develop working knowledge of Quality Control techniques. Participate in site walkthroughs to determine satisfactory work, and walkthroughs for physicians.
  • Excellent customer services skills for internal and external customers.
  • Generate documents and implement processes to standardize and monitor project progress from beginning to close out.
  • Track project costs and change orders, deliver and track invoices and change orders through accounting.
  • Gather project information to define program, scope and timing to help create project budget.
  • Familiarity with project management principles and strategies.
  • Participate in project activity tracking and managing course corrections
  • Support communication of schedule to clients and users
  • Learn to recognize and flag issues around work phasing logic and durations.
  • Support project close-out, start-up training in accordance with facility management best practice standards and technical requirements.
  • Prepare letters, reports, meeting minutes, dashboards and other documents clearly, effectively and efficiently. Communicate ideas in discussions and presentations in a confident, convincing, polite and professional manner.
  • Gain familiarity with different departments, team members, consultants, inspectors, agencies, general contractors and trade specialties.
  • Promote and maintain open communication between all project team members, consultants, inspectors agencies and the supporting subcontractors and trades.
  • Other duties as assigned.

 

Education and Experience:

  • High school diploma, 3+ years construction and healthcare experience preferred.

 

Physical Requirements and Working Conditions:

  • Office work lifting up to 10lbs, construction site visits and walkthroughs.
  • Repetitive motion associated with operating a computer and other office equipment
  • Inside, climate-controlled working conditions, outside construction site conditions and environment (25% of the time)
